Job Opportunity: Construction Project Coordinator

The Rosenblum Companies is a developer and full-service owner operator of premier properties in the Capital District. Due to an internal promotion, we are in need of a Construction Project Coordinator (PC) to provide administrative support critical to the Construction Management team’s ability to deliver quality projects that meet company and client standards. The PC reports to the Vice President, Construction and Design (VPCD) and is responsible for cross-departmental support for Construction, Leasing, Property Management, and other general company projects.

Major Accountabilities

  1. Utilize web-based project management software to set up and organize construction projects; assure all construction and contract procedures are followed through until project close-out.

  2. Prepare, organize, and administer project-related documents including Proposals, Bid Solicitations, Trade Contracts, Change Orders, Purchase Orders, Work Order Contracts, and Insurance Certificates.

  3. Collect and distribute Requests for Information (RFI’s) and Submittals. Preserve, organize, distribute, and maintain all drawings and document revisions.

  4. Data entry for project accounting and invoicing for subcontractors, vendors, and consultants; assist project managers with invoicing process.

  5. Update and post payment-related data in project management software; complete monthly reconciliation against company accounting system.

Other General Duties and Expectations

  1. Provide general administrative support to the Construction Department including but not limited to coordinating schedules, activities, and commitments.

  2. Provide supplemental administrative support cross-departmentally in accord with business need.

  3. Other tasks as assigned based upon company need.

  1. Strong attention to detail, organizational and time management skills, with the ability to effectively manage competing priorities. Exemplary initiative and work ethic with a desire to learn and grow.

  2. Knowledge of customer service standards and procedures, with ability to provide efficient, timely, reliable, and courteous service to internal customers.

  3. Strong interpersonal and written communication skills, with proven ability to build and maintain quality relationships with tenants, vendors, and team members and to work effectively with a diverse community.

Minimum Job Requirements

  1. High school diploma required; Associate or Bachelor’s degree (BA/BS) preferred.

  2. Minimum 3 years of administrative experience. Experience in construction field and working knowledge of construction contracts, subcontracts, and invoices (AIA format) preferred.

  3. Computer literate, with intermediate to advanced skills using with common business software/applications (e.g., Microsoft Office suite) and ability to adapt to new technology. Intermediate to advanced experience with construction management software preferred but not required.

  4. Ability to work with sensitive files and maintain confidentiality; must pass criminal background check.
