2018 Best Places to Work - Director of Property ManagementWe are pleased to offer a full-time opportunity for the Director of Property Management position on our dedicated and award-winning team based at our corporate offices in Great Oaks Office Park, Albany, NY.  Reporting to the CEO, the Director of Property Management is a critical team member responsible for maximizing the performance of our growing portfolio of Class A office buildings, light-industrial, mixed-use and multi-family properties.  S/he is an integral part of the leadership team, crafting and implementing strategies, procedures, and programs that assure long-term value creation and tenant satisfaction by taking a proactive, high-quality approach while promoting company core values.

The Director of Property Management is responsible for directly supervising multiple Property Managers and the Chief Engineer. S/he will establish appropriate metrics to ensure that the Property Management department (including Building Engineering staff) are meeting client and company objectives while collaborating with other departments and team members to achieve overall company goals.

Responsibilities include but are not limited to:

  • Leadership and Management
    • Uphold high company standards for “Better Spaces;” e.g. Class A quality of building exteriors, common areas and amenity offerings.
    • Work closely with Senior Management to align the company’s core values, strategic plan and metrics to short- and long-range objectives.
    • Prepare and manage annual operating budgets for Properties, analyzing and reporting actual and forecasted variances to Senior Management on a regular basis. Investigate and present cost reduction opportunities including capital project planning.
    • Effectively lead and manage department personnel, motivating a high-performance, collaborative team ensuring adherence to company policies, identifying and promoting professional development and continuing education opportunities.
    • Assure there is 24-hour emergency coverage for all properties at all times, as well as provide on-call backup for any management response necessary.
    • Work collaboratively with other departments toward onboarding new properties and tenants, compliance with building policies, and minimization of construction-related risk/disruption.
  • Performance Management
    • Promote a strong culture of safety throughout the Property Management department and companywide.
    • Manage, solicit, negotiate and oversee vendor / contractor relationships, ensuring contract terms are upheld.
    • Track and verify correct routing of approved invoices, open purchases, service orders and contracts.
    • Maintain and promote up-to-date knowledge of best practices in safety, property operations, environmental standards/sustainability, regulatory requirements and client experience.
    • Represent the firm positively and professionally with tenant and business partners and within the greater business community.
  • Tenant Relations
    • Ensure client-centric service and that tenant requests are addressed in a courteous and seamless manner. Proactively build positive relationships with tenants and other property stakeholders.
    • Create and update building policies including rules and regulations; ensure handbooks are current.
    • Oversee tenant communications with an emphasis on timeliness, client relations and risk management.
    • Maintain knowledge of tenant lease terms to ensure mutual compliance.
  • Operations
    • Develop estimates and tracks costs/billing for tenant-reimbursable work; coordinate with Construction Management as applicable.
    • Ensure information technology and record keeping systems for building/property operations including security, BMS, fire suppression systems, access control, are optimized, managed and aligned with property objectives.
    • Track and verify correct routing of approved invoices, open purchases, service orders and contracts.
    • Oversee the preventive maintenance of building equipment/systems, as well as the management and maintenance of company property (e.g. vehicles, equipment and tools).

QUALIFICATIONS

  • Bachelor’s degree (BA/BS) in a relevant area of study.
  • Minimum 10 years of commercial property management and supervisory experience.
  • CPM preferred.
  • Excellent written and verbal communication skills. Strong organizational and analytical skills.
  • Advanced knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and commissions, as well as comprehend, analyze, and interpret complex documents.
  • Advanced analytical and quantitative skills, as well as strong organizational, time management and problem-solving skills. Intermediate level proficiency with Microsoft Office Suite.
  • Ability to provide efficient, timely, reliable and courteous service to clients. Ability to effectively present information.
  • Knowledge in leases, contracts, construction and property maintenance practices. Decisions made with thorough understanding of procedures, company policies, and business practices to achieve general results and deadlines.
  • Ability to read and understand architectural and mechanical systems drawings.
  • Demonstrated history of successful vendor procurement and management.
  • Knowledge of commercial leases, contracts, construction and property/grounds maintenance practices. Decisions made with thorough understanding of procedures, company policies, and business practices to achieve general results and deadlines.
  • Strong initiative, work ethic, innovation and entrepreneurial spirit. Exceptional interpersonal skills (team player) with all levels of employees, vendors, and tenants.
